Re:      Action plan for improving building projects ( Shanghai )

Leatty Introduction

In order to show our dedication and the extent of significance the staff has on the company, we have devised new plans to enhance and upgrade the communications systems to toughen the ties and mutual drive within the organization. After deliberating we have come to certain conclusions and agreements regarding the plan of action to develop the communication system within the company. There were several problems that were discussed during the meeting including re-designs, supply shortages and deadlines not being met. We have established plans to remove these problems to improve production and the overall image of the company in the long run.

Digital mailing list

Effective communication is essential for the company and therefore a digital mailing list is very useful to broadcast and share company news amongst the staff. In addition, all the data gathered for the mailing list will be sent to the webmaster that will issue the list on a weekly basis. If all goes well, we would expect to see an improvement in the stream of ideas and recommendations between the various divisions and departments in the company.

Website forum

Today, thanks to the  usefulness of the social media, people are able to communicate through the internet instantly. Because of this, we recommend creating an interactive blog on the company website where the staff are able to interact with each other. We believe this is beneficial because it means that the staff can build a social relationship with each other and thus break the wall that hinders communication.

Web-conferencing

Finally, we intend to introduce a video-conferencing service in all our branches. State of the art computers will be installed in all rooms of the buildings to allow video-conferencing to take place. This technique will allow the managers of all departments to visually communicate with each other but also with the employees that are undertaking tasks abroad.  This method might require extensive investment, but we highly recommend it because communication problems in the past have resulted in shortages of supply simple because of misinterpreted information.  As a result, we hope that the staff will be able to communicate quicker and so deadlines are met and delays are eliminated.

Conclusion and recommendations

To sum up, it is clear to see that applying these ideas will without a doubt require expensive investment but it will nonetheless be very beneficial for the company in the long run. It is also vital to keep in mind that the recommendations will require further adjustments to suit the company perfectly and to reduce costs as much as possible. Further research has driven us to the conclusion that not only communication will improve but we expect to see a mass improvement in profit due to the enhanced communication. In addition, these recommendations will help the company become more internationally orientated and this is exactly what is required from our global customers.
